DESCRIPTION


Currently, we are looking for a Senior Project Administrator

Responsibilities

  • External project activities:
    • Onboarding/access to our client and Epam systems for new project members as well as track leavers and delete their account in time
    • Manage Epam time reporting in our time-tracking systems
    • Both internal and external Timesheet verification and synchronizations
    • Track all travel plans and work with travel department where necessary on arranging the trips, get costs approvals from Customer, maintain PO and control ER submission
    • Track vacations, update tracking systems with holidays and planned vacations
    • Notify Customers about Public Holidays
    • Maintenance of staffing spreadsheet
  • Internal project activities:
    • Support of Outlook DLs
    • Rotations data and storage of exit interviews
    • Manage Kharkiv office activities like movements and repair
    • Assists with Town Halls / Meetings
    • Collaborate with Help Desk to fulfill the requests
    • Any Ad hoc Excel reports according to the request. Excel spreadsheets synchronization with different data sources
    • Keep up to date internal systems
    • Request, track and follow up accounts creation. Tracks newcomer start date. Helps with employee adaptation
  • Internal advanced level:
    • Maintain weekly and monthly reports for the Delivery teams and Delivery Managers - Health check status to customer/internal on overall EPAM standing in ppt (such as staffing – open positions, end date, covered SOW, Accounts Receivable, Accrued Revenue due to absence of PO/SOW)
    • Communicate with internal controlling/supporting groups (Travel, Invoicing, Accounts Receivable, etc.)

Requirements

  • 5+ years of relevant experience
  • Strong personality to drive the change with different senior stakeholders, and ability to sustain the pressure of deadlines
  • C1/C2 English, excellence in administration and communication

Nice to have

  • Experience in similar IT/corporate environment, and prior participation in large-scale/big impact programs
  • Financial background
  • Prior experience with business process automation
  • Understanding the specifics of European culture (work with European customers)

Must have experience

  • Vast experience in planning, estimation, tracking actions, organizing meetings
  • Proficiency with MS Office, especially advanced Excel knowledge
