AI Won't Deliver Value If Your Workflows Aren't Ready: Expert Q&A

Artificial Intelligence (AI) is reshaping how companies plan, create and deliver content, but the biggest changes aren't technical. We asked EPAM content thought leaders Amanda Follit, Global Head of Content Management Services, and Alexandra Jorge, Director, Marketing Consulting, what real AI readiness looks like and why so many organizations need to rethink their approach.

AI tools for content management dominate conversations now. Where do you see the biggest opportunity for companies to get this right?

Alexandra Jorge: The real opportunity comes from starting with the question: "What do we actually need to be able to do or do better?" rather than the tool itself. Bold predictions about AI reshaping websites or creative work are compelling, and there's some truth in that. But the most valuable progress happens a layer deeper, where teams take time to understand how AI works, how it's trained, where its reasoning come from. With that understanding, they can make informed judgments about what real value AI can add to a content ecosystem.

That curiosity is where the advantage lives. Companies that pause to learn the mechanics make sharper, more confident decisions. They know when AI adds genuine value and when a simpler approach wins. The opportunity isn't in chasing the loudest headline. It's in pairing the technology with a clear sense of purpose, and that's something every team can build.

So AI readiness isn't just about buying the right tools?

Amanda Follit: Exactly. Tools are the easy part. AI readiness has three layers. Firstly, is your content ready for AI to read, understand and contextualize? Secondly, are your content supply chain and your processes ready to support AI? And thirdly, is your business ready as a whole? This multi-layered approach to adoption — addressing organizational, process and infrastructure readiness — is critical. The best tools can only go so far if your processes are not delivering in the way they should and your infrastructure isn’t ready.

What is a "single source of truth" and why does it matter so much now?

Amanda Follit: The single source of truth is your content; AI relies on it completely. For example, your website is no longer just a place humans visit. It's becoming one of the knowledge bases that AI uses to communicate about your products or services and to answer customer questions. If your source of truth is inaccurate, incomplete or missing, AI will pull information from some other sources, and they won't be yours. That's the real risk. Making your content authentic and structured is now the foundation everything else depends on.

Should companies treat content creation as separate stages?

Alexandra Jorge: No, and this is a major shift. Content operations are an ecosystem of people, processes, tools and data. Treating creation, approval and publishing as disconnected steps is what causes duplication, bottlenecks and rising costs. We coordinate AI across the entire system, from planning through to reporting, rather than automating one task in a silo. Viewing the supply chain as one end-to-end system is what unlocks speed, reuse and control.

Where should AI actually fit into the workflow?

Amanda Follit: In three distinct ways: automate, augment and assist.

Knowing which is which keeps you in control and prevents you from handing over work AI isn't suited for.

Which content tasks will AI handle, and where do humans add the most value?

Alexandra Jorge: AI will likely take over some tasks — especially the ones people never wanted to do in the first place. If a role is limited to placing an image on a page and following instructions, AI does that faster and more accurately. But the growing demand for scalable content needs more human creativity. We are talking about the ability to generate ideas that do not fit in a box and go beyond what exists, not linear inference or the convergence on a ‘good enough’. The brands that will stand out are the ones that are unique in their identity and clear in their value messaging. This means we need storytellers and creatives more than ever. Some extreme claims about “AI replacing everyone” usually overlook how AI actually works. It's a similar concern to what we saw when the internet arrived. Human judgment hasn't disappeared. It's become more valuable.

How do you create urgency without overpromising?

Alexandra Jorge: By showing leaders the full picture and being honest about complexity. We start by listening to the people who do the work. Through workshops and interviews, we map how content really flows and how they actually complete their tasks every day, not how the documents say they should. Then we design the ideal future state based on what the business wants to achieve. We identify what foundations need to be set for any AI to work in an ecosystem, overlay where AI fits and rank the gaps by effort and impact. Every change gets a named owner. We won't recommend unnecessary disruption. We'll focus on the changes that matter most.
