Paving the Way for Digital Transformation

Founded in 1996, Girteka is one of Europe’s largest transport and logistics companies that specializes in full truckload operations with temperature-controlled, high-value and high-care cargo. In response to growing operational complexity, Girteka launched a company-wide digital transformation in 2020 to enable scalable, data-driven logistics operations.

As part of this strategic initiative, Girteka chose SAP S/4HANA as its core platform for enterprise transformation and engaged EPAM to support the implementation with its deep SAP expertise. One of the key focus areas was the Vehicle Maintenance Division, a team of over 650 specialists responsible for keeping Girteka’s 6,000 trucks and 7,000 trailers in optimal technical condition throughout their lifecycle — from leaving the manufacturing plant to the moment of sale.

Processes like truck preparation, involving multiple specialists and many tasks, require accurate and timely information sharing, speed and automation. Small mistakes, such as entering the wrong tire serial number or mismanaging warehouse records, could trigger time-consuming corrections and impact operations. At scale, existing systems created limitations: information was spread across separate platforms, workflows were not yet fully digitized and manual inputs, though well-managed, increased the risk of inefficiencies.

A Powerful Solution Built on SAP 

The SAP S/4HANA system helped Girteka address these challenges by enabling more automation, connecting systems more effectively and providing greater clearer visibility into maintenance activities.

Here are some of the key features of the solution:

    • Centralized management of repair orders, spare parts and procurement – supported by automated inventory tracking to reduce shortages and optimize costs
    • Asset tracking enhancement, including tire monitoring, warranty claims management and equipment oversight for better cost control and planning 
    • Automation of core finance functions, including period-end closing, accruals and payments — reducing administrative load and improving accuracy 
    • Full adaptability to local compliance requirements through tailored configurations 
    • Structured access management aligned with business roles and operational responsibilities
    • Multiple languages supported throughout the development and testing phases, according to user needs
    • Comprehensive deployment of SAP modules: Financial Accounting, Controlling, Sales and Distribution, Materials Management, Human Capital Management, Warehouse Management, Enterprise Asset Management
    • Seamless integration with surrounding systems, including SAP SuccessFactors Employee Central, Microsoft Axapta and Girteka’s custom-built internal software

Collaboration Drives a Successful Go-Live 

EPAM partnered closely with Girteka throughout all stages of the implementation — from initial discovery to go-live and hypercare. Our team collaborated with local client stakeholders, providing on-site support in Poland and Lithuania to train key users and guide them through the implementation process. This three-month hypercare period helped ensure a smooth and successful adoption of the platform.

In November 2024, Girteka launched a simultaneous go-live of SAP S/4HANA across several countries for maintenance operations. The implementation directly impacted over 650 employees who are responsible for maintaining the company’s 6,000 trucks. The go-live marks the culmination of a focused two-year effort to enhance operational efficiency and achieve lasting business benefits.
